Sales Orders
A sales order captures a customer's commitment to purchase — before the invoice is raised. Use sales orders to track fulfilment progress from confirmation through to delivery.
Creating a Sales Order
- Go to Paxus Suite → Sales Orders.
- Click New Sales Order.
- Select a Contact or Company.
- Set the Order Date (required) and an optional Expected Delivery Date.
- Add a Shipping Address if goods need to be delivered.
- Choose a Currency (defaults to GHS).
- Add line items — each requires a name, quantity, and unit price. You can also set per-item discount percentages, tax rates, and link to an inventory item.
- Apply an optional order-level discount (fixed or percentage).
- Add Notes.
- Click Save.
Order Statuses
The order lifecycle moves through these statuses:

| Draft | Order saved but not yet confirmed |
| Confirmed | Order accepted; fulfilment can begin |
| Processing | Items are being picked or produced |
| Shipped | Order is in transit |
| Delivered | Goods received by the customer |
| Completed | Order closed |
| Cancelled | Order cancelled |
To move an order between statuses, open the order and click the appropriate status action button. When you set the status to Delivered, a delivery timestamp is recorded automatically.
Generating an Invoice from a Sales Order
Once a sales order is ready to bill:
- Open the sales order.
- Click Generate Invoice.
Faciotech creates a new invoice pre-populated with the same contact, company, currency, line items, discounts, and a note referencing the order number. The invoice is set to a 30-day payment term by default. You can edit it before sending.
The generated invoice links back to its source sales order so you always know which order triggered which bill.
Searching and Filtering
From the sales orders list, filter by Status or search by Order Number. Results are sorted newest first and paginate at 25 per page.
Editing and Deleting a Sales Order
Open the order and click Edit. All line items are replaced on save. Totals recalculate automatically. Use the Delete action on the edit form to remove an order permanently.
