Inventory
Paxus inventory tracks the products and services you sell, organises them into categories, assigns them to one or more warehouses, and maintains an auditable stock movement history.
Setting Up Warehouses
Before adding trackable items, create at least one warehouse:
- Go to Paxus Suite → Settings → Warehouses.
- Click New Warehouse.
- Enter a Name and a unique Code (up to 20 characters).
- Optionally add an address, city, and phone.
- Mark it as the Default warehouse if it is your primary location.
- Click Save.
You can have multiple warehouses. Stock levels are tracked independently per warehouse per item.
Adding Inventory Items
- Go to Paxus Suite → Inventory.
- Click New Item.
- Fill in the required fields:
- Name
- SKU (unique across all items)
- Optionally add:
- Barcode (unique)
- Category (from your item categories)
- Description
- Unit (e.g., "each", "kg", "hour")
- Cost Price and Sale Price
- Minimum Stock Level — used as a low-stock threshold
- Tax Rate
- Toggle Track Stock on if you want warehouse-level quantity tracking for this item.
- Click Save.
When you save a trackable item, Faciotech automatically creates a stock level record (starting at zero) for every active warehouse.
Non-trackable items (like services or digital products) still appear in invoices and POS but have no stock level records.
Item Categories
Organise your catalogue with categories:
- Go to Paxus Suite → Settings → Item Categories.
- Create categories with a name, optionally nested under a parent.
- Assign a category when creating or editing an inventory item.
The inventory list supports filtering by category.
Adjusting Stock
When stock needs to be corrected — goods received from a vendor outside a PO, theft, damage, or a count correction — use a stock adjustment:
- Open the inventory item.
- Click Adjust Stock.
- Choose a Warehouse, a Type (
in,out, oradjust), a Quantity, and an optional Reason. - Click Save.

| In | Adds quantity to the warehouse stock level |
| Out | Subtracts quantity from the warehouse stock level |
| Adjust | Sets the stock level to the exact quantity entered |
Every adjustment creates a stock movement record with the user, timestamp, and reason.
Viewing Stock Levels and Movement History
Open any inventory item to see:
- Stock Levels — current quantity in each warehouse
- Stock Movements — the last 20 movements (in, out, adjustments, goods receipts, POS sales), with warehouse, user, and timestamp
Searching and Filtering
The inventory list supports search across Name, SKU, and Barcode, and filtering by Category.
