Checklists & Tasks

Once an onboarding is created from a template, its steps become a live checklist. Your team updates steps as work progresses, assigns them to individuals, and leaves comments — all in one place.

Creating an Onboarding

  1. Go to Client OnboardingOnboardings.
  2. Click New Onboarding.
  3. Enter a Title.
  4. Select a Template — all active templates are available; the default template is pre-selected if one is configured.
  5. Optionally link a Contact from the Contacts module.
  6. Assign an Owner (the user responsible for this onboarding overall).
  7. Set a Start Date and Due Date.
  8. Add notes.
  9. Click Save.

All steps from the template are copied into the onboarding. A unique reference number is assigned automatically.

Step Statuses

Each step in the checklist can be in one of five states:

When a step is marked Done or Skipped, the completion timestamp and the user who completed it are recorded automatically.

Updating a Step

From the onboarding detail page:

  1. Find the step in the checklist (steps are grouped by Phase).
  2. Click the step's status control or Update action.
  3. Select the new status.
  4. Optionally assign the step to a specific user.
  5. Save.

If you assign a step to a user, they receive an assignment notification (if notifications are enabled in settings).

Bulk-Updating Steps

To mark multiple steps at once:

  1. Select the steps you want to update using the checkboxes.
  2. Choose Done or Skipped from the bulk action menu.
  3. Confirm.

All selected steps update simultaneously and the overall onboarding status recalculates.

Progress Recalculation

After every step update, Faciotech recalculates the onboarding's overall status:

  • When all steps required for completion are done (based on the Completion Mode setting), the onboarding status automatically changes to Complete
  • A completion notification is sent to the onboarding owner when this happens

Leaving Comments

Comments can be posted at the onboarding level or attached to a specific step:

  1. Scroll to the Comments section on the onboarding detail page.
  2. Type your comment (up to 5,000 characters).
  3. If the comment is about a specific step, select that step from the Step dropdown.
  4. Click Post Comment.

Comments appear in chronological order and show the user and timestamp.

Use step-level comments to leave context for whoever picks up a blocked or in-progress step — it keeps the conversation attached to the right task.
